Executive Admin/Marketing Coordinator - Tempe (AZ)

Work place is Tempe, AZ. Responsible for providing administrative support to the Vice President & General Manager and performing a broad range of administrative tasks. Coordinating trade show activities and facilitating marketing efforts under the direction of the Vice President and General Manager and the Marketing Manager at headquarters.

Essential Duties and Responsibilities:

To perform this job successfully, the individual must be able to perform each of the primary duties satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

  1. Administrative support for the Vice President and General Manager, including the administration of management meetings.
  2. Coordinates travel for US employees, HQ employees and customers.
  3. Creates and maintains annual marketing budget for North America.
  4. Orders and maintains all marketing materials from HQ. Organizes and coordinates all trade shows and conferences (e.g. calendar, logistics, hotels and invitations).
  5. Exercises frequent independent judgment within agreed upon limits, with respect to matters of significance.
  6. Responsible for scheduling regular and special meetings and preparing agendas. Will keep minutes at meetings.
  7. Coordinates offsite venues for sales meetings and other company events.
  8. Prepares confidential correspondence and performs other high-level administrative functions, including receiving visitors and scheduling appointments.
  9. Must be able to travel domestically overnight, as needed, up to 30% of the time.
  10. Other duties, as assigned.

Additional Duties and Responsibilities:

  1. Assists with answering phones.
  2. Set up and cleanup of conference rooms/order lunches for customer meetings and company events.

Qualifications/Education/ Skills and Experience:

  1. This position requires a Bachelor’s Degree plus two (2) years of experience or five (5) years of related experience in an administrative support role.
  2. Must have working knowledge of MS Office, Outlook, and SAP.
  3. Must have the ability to work with confidential information and the ability to multitask in a fast-paced environment.
  4. Must have excellent written and oral communication skills and to be able to effectively collaborate with HQ personnel.
  5. Proficient in spreadsheet utilization and database management.
  6. Must be able to work a flexible schedule in order to meet deadlines.
